Roles and Permissions
Every client device is authorized with exactly one role. You choose the role when you authorize the device, and you can change it later from the Devices page. The role decides which pages appear in the device's sidebar and which actions the host computer accepts from it. Roles are fixed: you cannot create new ones or change what a role allows.
The host computer is always an Admin device and cannot be given another role.
Choosing a Role
Give each volunteer the narrowest role that still lets them do their job. A volunteer on a solo field needs Solo-Only Scorekeeper rather than Scorekeeper, and a volunteer calling teams from the pits needs Queuer. Narrow roles keep coach contact details off devices that do not need them and prevent accidental changes to scores, awards, and setup. If a volunteer changes jobs during the day, change the device's role from the Role list on the Devices page instead of authorizing a new device. The change applies immediately.
Important
An Admin device can change or delete anything in the event, including scores, awards, and other devices. Give the Admin role only to devices you control, and keep the number small.
Roles
- Admin: Event Partners and trusted staff. Has every permission, including event setup, authorizing devices, alliance selection, and managing displays.
- Check-In: The registration and inspection table. Marks teams present, records inspection, edits team details, and can see coach contact details to reach teams that have not arrived.
- Queuer: Volunteers calling teams to the field. Ticks teams present on the Queue page and can view everything else without changing it.
- Solo-Only Scorekeeper: Volunteers running solo fields. Queues and scores solo matches, runs solo field timers, and controls solo field displays, with no access to alliance matches.
- Scorekeeper: Volunteers running alliance fields. Queues and scores alliance and solo matches, runs every field timer, controls field displays, and can record inspection and mark teams present.
- Head Referee: The head referee. Everything a Scorekeeper can do, plus recording violations, marking No Shows, viewing deleted matches, reassigning a match to another field, and editing team details.
- Judge Advisor: The judging room lead. Assigns award winners, adds or removes awards, prints the Judging reports, records violations, views coach contact details, and runs the Eligibility page with full control of highlights and notebook status, but cannot reach any scoring page.
- Judge: A limited judging role. It can open the Eligibility page and set notebook status, but it cannot change highlights and does not have the permission to view award winners that the eligibility results depend on, so the table stays empty on a Judge device. Authorize judging room devices as Judge Advisor instead. See Excellence Eligibility.
- Display: TVs, projectors, and field monitors. Shows the content of its display group and has no interactive pages. Its only permissions let display screens read award winners and match disqualifications.
Permission Matrix
The host computer checks the role on every action, not only when a page opens. A page visible to a role is not always fully editable by it. Blank cells mean the role does not have that permission.

Coach contact details are left out of what the host computer sends to a device without permission to see them, so they never appear on that device's pages or printouts. Assigning award winners also covers adding and removing awards and Auto-fill performance awards on the Finalize page, so a Judge Advisor can manage the award list. See Finalize and Awards. The Eligibility page needs two permissions to work: opening the page and setting notebook status, and viewing award winners, which the eligibility results and the two eligibility printouts also depend on. Admin and Judge Advisor have both. Judge has only the first, so on a Judge device the page opens but lists no teams and the Cutoffs card reads No teams have scored matches yet. Setting highlights is reserved for Admin and Judge Advisor. See Excellence Eligibility.
Event files created before the Judge role existed gain it the next time they are opened, so it is always available when you authorize a device.
Authorizing a Device
- On the client device, open the host computer's address in a browser. The device shows a six character device code, valid for 10 minutes.
- On an Admin device, open Devices from the sidebar.
- Enter the code into Device Code, type an optional name into Device Name (optional), and choose a role from the Role list.
- Click Authorize as followed by the role name. The client device opens the pages for its role within a few seconds.

Automatic Disabling
Auto disable devices on the Devices page is on by default. It disables any client device with an operator role after one hour without use, so the device list stays current and forgotten tablets do not keep access. The host computer and Display devices are never disabled by it. A device disabled this way shows Device Disabled and keeps its name and role; choose Re-Enable from its row in the Authorized Devices table to bring it back without a new code.
