Teams
The Teams step builds the team list for your event. Check-in and inspection, match assignments, rankings, awards, displays, and reports all work from this list. You can import the list from a CSV file, add teams one at a time, or generate placeholder teams for a practice run.
Open the step from Event Setup after you have saved an event name and chosen a program on the General step. Choose the program before you add any teams: it cannot be changed once a team exists. Only the Admin role can open Event Setup. See Roles and Permissions.
The heading shows how many teams are in the list, for example 24 Teams. Beside it are three buttons: Import Teams from CSV, Add Team, and Generate Teams. The table below lists each team's number, name, and Organization. Teams cannot be deleted one at a time on this step. To start over, import a new file or generate teams, both of which replace the whole list.

Importing Teams from a CSV File
- Click Import Teams from CSV.
- Choose the CSV file and click Open.
- Wait for the table to refresh. The heading updates with the new team count.
The import replaces the entire team list with the teams in the file. If anything in the file is invalid, nothing is imported and a notice titled Import Error explains the problem, including the line number where it was found. See Troubleshooting for the common import messages.
CSV Format
The first row must be a header row. Column names are matched loosely: capitalization, spaces, and punctuation are ignored, and several common alternatives are accepted. Columns you do not need can be left out, extra columns are ignored, and blank rows are skipped.
Column | Required | Accepted header names | Notes |
|---|---|---|---|
Team Number | Yes | Team Number, Number, Team | A program prefix followed by an underscore is removed, so |
Team Name | Yes | Team Name, Name | If a team's name is blank, the team number is used as its name. |
Team Grade | Yes | Team Grade, Grade Range, Grade, Grade Level | Accepted values: |
Organization | No | Organization | |
City | No | City, Contact City | |
Region | No | Region, Contact State, State | |
Postcode | No | Postcode, Postal Code, Zip Code, Zip, Contact Zip | |
Country | No | Country | |
Primary Coach Name | No | Primary Coach Name, Contact Name | Coach details are shown only to roles that may view sensitive team information. |
Primary Coach Phone | No | Primary Coach Phone, Contact Phone | |
Primary Coach Email | No | Primary Coach Email, Contact Email |
If the header row is missing any of the three required columns, the import stops with CSV file is missing required columns: followed by the names of the missing columns. Before importing, open the file in a spreadsheet and check that every team has a grade. A single missing grade stops the whole import.
Adding a Single Team
- Click Add Team.
- Fill in Team Number and Team Name. Both are required, and the number must not already be in the list.
- Choose the team's Grade. The default is High School. The other options are Elementary School, Middle School, and University.
- Fill in Organization and any of the Location and Coach fields you have.
- Click Save. To close without saving, click Cancel or press Escape.
Adding a team leaves the rest of the list untouched, which makes it the safe way to add a late registration once matches exist. If the save is refused, a notice titled Could not save team explains why. Team numbers cannot be changed after a team is created. Other details can be edited later from the host computer's team list, where the same form opens with Edit Team in the title.
Generating Placeholder Teams
Generated teams are for learning the software or rehearsing an event. Use them on a separate practice event file, not on your real event.
- Click Generate Teams.
- In Number of Teams, enter a whole number from 1 to 500. The default is 16.
- Click Generate Teams.
- If the list already has teams, a confirmation asks whether to remove them and replace them with generated teams. Click Confirm to continue or Cancel to keep the current list.
Generated teams are numbered 1A, 2A, 3A, and so on, named Team 1A, Team 2A, and so on, and set to the High School grade.
Important
Importing or generating teams replaces every team in the list. Once teams have been assigned to matches, both actions are refused with Teams are already assigned to matches. Delete the match schedule before replacing the team list. Import your final list before you assign teams to matches, and use Add Team for anything that arrives later.
Remarks
The team count drives the Registered Teams number and the matches per team estimates on the Schedule step, and sets the size of a round when you create matches. Both steps stay disabled until at least one team exists.
Every team in this list appears on the check-in and inspection page, and only teams marked present (or passed through inspection) are assigned to matches. Grade-specific awards on the Awards step, such as an Excellence Award for one grade level, use each team's Grade. Rankings are recalculated whenever the team list changes.
